Currently, we are looking for a full time Scheduling Coordinator & Patient Care Coordinator/Physical Therapy Technician floater for our 11 Smith Therapy Partners locations throughout Las Vegas and Henderson.
Must be flexible to assist at any of our locations with open availability 7:00am - 7:00pm Monday - Friday to work any schedule needed.
PATIENT CARE COORDINATOR
ESSENTIAL POSITION DUTIES
ESSENTIAL POSITION DUTIES
The Scheduler is responsible for scheduling referral appointment for Initial Evaluation and following visits, rescheduling, and canceling appointments as applicable, and sometimes quick verification of patient's demographical information. Sorting every inbound referral and eFax to appropriate subfolder within 24 hours to allow scheduling of every referral appointment within 24-48 hours. Working referral stages for the purpose of scheduling Initial Evaluations for new patients. Handling inbound call volume as well as placing outbound calls.
PRINCIPAL ACCOUNTABILITIES
Knowledge, Skills and Abilities
Education: High School diploma or equivalent. College degree in a related health field preferred but not required.
Experience: At minimum, 1 year of relevant experience in a physical therapy office or other medical office required.
Physical Requirements and Working Conditions
Requires prolonged sitting, some walking, bending, stooping, reaching, and stretching. Requires eye-hand coordination and manual dexterity sufficient to operate a keyboard, mouse, photocopier, telephone, calculator, and other equipment. Requires a normal range of hearing and eyesight to record, prepare, and present reports.

PATIENT CARE COORDINATOR
ESSENTIAL POSITION DUTIES
- Greeting warmly and maintain a friendly, welcoming relationship with all patient care coordinators, and any external connections.
- Clearly communicates with all staff, including clinical and corporate employees, in a friendly and courteous manner
- Responsible for answering phones and greeting patients with the utmost professionalism and care.
- Works closely with Billing Department, Physical Therapists and Aide staff to assure smooth patient flow
- Maintains patient confidence and protects operations by keeping information confidential
- Participates in and adheres to, as required, the HIPAA Policies and Procedures of Therapy Partner Group
- Reviews Copay collection reports and helps identify accounts that may need to be reviewed
- Audits Journeys/Dashboard to ensure they are being worked on in a timely manner
- Audits Payer Direct Portal to ensure notes are being uploaded/AUTH's pulled
- Checks FOC Chats to ensure messages are being responded to and worked on
- Chart audit day/s in advance to ensure we have charts with documents and AUTH's as required

- Analysis of incoming referrals to obtain all demographic data necessary to schedule an initial appointment.
- Understanding of Insurance benefits and authorizations for obtaining prior to scheduling if required
- Collaboration, Communication Skills, Interpersonal Skills, Technical and Scheduling skills to assist patients with appointment time and date for Initial Evaluation and the 5 following visits.

PRINCIPAL ACCOUNTABILITIES
- Prepares treatment room for patient by following prescribed procedures and protocols.
- Prepares patients for physical therapy treatment by welcoming, comforting, providing and/or assisting patient into physical therapy apparel (shorts, gowns, etc.)
- Does laundry, maintaining an ample supply of clean linens.
- Under direct supervision of and with co-signature by, records daily notes.
- Provides information to patients by answering questions and requests.
- Helps treat patients by applying ice or heat packs, helping patients onto exercise equipment, monitoring motion; tracking walking time and distance; performing prescribed exercises and strengthening techniques as requested by PT.
- Educates patients by demonstrating proper use of equipment and exercise routines.
- Maintains patient confidence and protects operations by keeping information confidential.
- Maintains safe and clean working environment by complying with procedures, rules, and regulations.
- Provides equipment and supplies by sterilizing and delivering equipment and supplies to treatment area; positioning equipment for therapist access; positioning patient on equipment.
- Ensures operation of physical therapy equipment by completing preventive maintenance requirements.
- Maintains physical therapy supplies inventory by checking stock to determine inventory level; anticipating needed supplies and communicating to person in charge or ordering.
- Enhances physical therapy department and organization reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments, is a team player.
- Collects garbage at the end of each working day.
- Reports any issues needing resolution to Physical Therapists.
- Proactively answers incoming phone calls before they route to voicemail; triages each call to ensure a five-star patient experience by appropriately assisting with appointment cancellations or reschedules, completing intake forms, or taking detailed messages for the Therapist or PCC as needed.
- Assists with scheduling appointments for patients within the clinic to ensure efficient and timely access to care.
- Assists in collecting 100% of co-pays/deductibles and payments prior to patient being seen by provider per established policies and procedures.
- Assists in scheduling new evaluations accurately and in alignment with clinic protocols.
- During uncovered hours at front desk, occasionally provides support with focus on checking in patients, collecting co-pays, answering and triaging phone calls, and scheduling patients appropriately.
- Other duties as assigned.

- Thorough knowledge of Microsoft Office; Raintree PMS experience is a +Plus
